We are open to filling this role through collaboration with interim professionals, staffing agencies or other external partners.

We are looking for a temporary Training Officer to support the administration and planning of our training and consulting activities.

In this role, you play a key operational part in ensuring that trainings are well planned, smoothly coordinated and administratively well managed. You are someone who enjoys structure, follow‑up and keeping things on track.

This is an execution‑focused role, ideal for a junior profile with an administrative or organizational background.

What is waiting for you?

As Training Officer, you support the day‑to‑day organization of training sessions and consulting assignments. You work closely with internal teams, trainers and clients to ensure that everything runs smoothly from a planning and administrative point of view.

Your responsibilities include:

  • Planning and scheduling training sessions and consulting assignments in coordination with internal stakeholders

  • Following up the full administrative flow: intakes, scheduling, confirmations, timesheet coding and invoicing support

  • Acting as a first point of contact for practical questions from training clients (planning, logistics, general information)

  • Maintaining an overview of trainer and consultant availability for ongoing and upcoming assignments

  • Updating and maintaining the training management system (Arlo) to keep planning and administration aligned

  • Ensuring accurate and timely follow‑up of planning overviews and administrative lists

  • Supporting a structured and reliable training process, from preparation to delivery

The focus of this role is coordination and follow‑up, not designing or optimizing processes. Process improvements may naturally grow over time, but they are not core requirements for this assignment.

Practical details:

  • Temporary or freelance assignment

  • Ideally full‑time, with openness to 4/5

  • 40 hours workweek

  • Onsite presence is expected

  • Location: Ghent, Sint-Denijs-Westrem

Job requirements

What do you bring to the table?

  • A background in administration or organization (e.g. office management, administration, secretarial studies)

  • You are fluent in Dutch and English; knowledge of French is a plus

  • First experience in an administrative or coordination role is a plus, but not required

  • You work in a structured, precise and reliable way and enjoy keeping things organized

  • You are communicative, customer‑oriented and comfortable interacting with different stakeholders

  • You feel at ease working with planning tools and systems (experience with Arlo is a plus, but not required)

  • You are able to work independently while following clearly defined processes
